For scale: it's common to see $2,000 to $5,000 quotes for a year of catch-up, or hourly billing at $75 to $120 with no cap on the hours. Ours is flat, and it does not grow after we start.

A real cleanup is a serious, multi-week project, so we take three cleanup projects per month, no exceptions. If this month is spoken for, your written quote stays good for 60 days and you get first claim on next month.

Most cleanup quotes are a price and a shrug. Here is the real sequence, because the order matters more than most people realize.

Back up first, lock what's good

We export your file exactly as it stands before touching anything, and protect any period that is already correct so cleanup cannot disturb it.

Fix the chart of accounts

Wrong account types, duplicates, and categories nobody uses get corrected before a single transaction is touched. This is the foundation everything else sits on.

Merge duplicate vendors

"Home Depot," "Home Depot #4412," and "HomeDepot" are one vendor. Duplicates quietly wreck both your reports and your 1099 totals.

Rebuild the bank feeds

Broken connections reconnected, missing history imported, so the transaction set is actually complete before anyone starts categorizing.

Uncategorized income and expense worked down to zero against real documents. Never bulk-accepted, never guessed.

💡 Why the order matters: the most common and most expensive cleanup mistake is diving straight into categorizing transactions before the chart of accounts, the vendor list, and the bank feeds are fixed. Do it in that order and you categorize thousands of transactions twice. We have seen it, and it is why step 5 is step 5 and not step 1.

How behind is too behind?

Short answer: there is no such thing. There is only what it costs and how long it takes. Books that are three months behind are a tidy project. Books that are three years behind with a closed bank account and missing statements are a different animal, and we will say so in writing before you spend a dollar.

What actually makes a cleanup harder is not the number of months. It is missing records. Statements you can still download, we can work with. Accounts that are closed with no statements available are where projects get slow, because the transactions have to be rebuilt from whatever evidence still exists.
